Reception Services

There are three reception desks for visitors on the property. The main reception is located at Keilaranta 14 C, and all visitors from Keilaranta 12–16 will be guided to this reception. Keilaranta 10 E and Keilaranta 18 A1 have their own receptions, which are mainly reserved for handling their own building and guests.

In exceptional circumstances, the reception desks can manage each others’ tasks.

Main Reception, Keilaranta 14 C, from 8:00 a.m. to 5:00 p.m.

A1 Reception, Keilaranta 18 A1, from 8:00 a.m. to 4:00 p.m.

E Reception, Keilaranta 10 E, from 8:00 a.m. to 4:00 p.m.

All lessees or tenants on the property conclude an agreement on reception services. This service includes reception of visitors and announcing their arrival to hosts, notifying of courier deliveries and general guidance duties.

If they wish, companies may purchase additional services from the Reception Services, including visitor registration, mailing services, ID card services, small-scale office work, etc.

The Reception Services staff has received first aid training, and a defibrillator can be found in all the lobbies of the property (A1, C and E).

Lobby premises

Product demonstrations and sales can be arranged in the lobby and on common premises. The use of the common premises and lobby is coordinated by the Reception Services on the basis of the manager’s instructions.

Lifts

All properties have at least two passenger lifts. The capacity of the lift is 17 persons, and the weight limit is 1,275 kg. Each property has one lift dimensioned to carry a euro pallet.

If problems occur, please follow the instructions posted in the lift. The lifts are equipped with a 24 h voice contact with a lift maintenance firm. Any problems in the operation of the lifts must be reported to the Reception Services. They will forward the repair request.

(The lift buttons are covered by the access control system and an access control key is required for accessing the upper floors of the building, unless otherwise agreed with the lessee. Only the ground floor can be accessed without an access control key. The exception is the building A1, which does not have an access control system in the lifts.)

In case keys or other items are dropped into the lift shaft, the owner of the key is liable to pay the fee for the callout visit, in accordance with the lift maintenance firm’s pricelist, for collecting the lost item. In other cases, the keys are collected from the shaft in connection with the next visit. In such cases, the Reception Services must also be notified so that they can call a technician from the lift maintenance firm to visit.

Waste management

Basic level waste management is provided by the property. The property has a total of three waste collection rooms (building AB, building CD and building E). All waste collection rooms are located in the basement adjacent to the loading bays.

Each company is responsible for transporting their waste into the waste collection room and sorting the waste in the appropriate containers (one for each type of waste). The property is responsible for keeping the waste collection room tidy and transporting the waste, in accordance with the property’s waste fractions, from the waste collection room. The companies are responsible for instructing their cleaners in the use of the waste collection rooms. The property recommends that office waste is sorted as energy waste instead of mixed waste.

The basic level waste management covers standard office waste, which includes energy, mixed, bio, plastic, packaging metal, packaging glass, paper and cardboard waste. The basic level waste management does not cover waste generated from the company’s business or removals. Special needs must be agreed on with the Property Manager (e.g. a waste skip or another type of non-standard load of waste).

In addition to cleaners, access rights to waste facilities are only granted to separately appointed representatives of the company. Access rights to waste facilities must be applied for separately from the Reception Services or manager.

General property maintenance

The owner has concluded service and maintenance contracts with service providers on heat, water, ventilation and electrical engineering as well as maintenance and cleaning of the parking, indoor and recreational areas. The maintenance caretaker is present on the property on weekdays during office hours. At other times, the property management firm is on call 24 h. Only urgent work will be performed during the on-call hours.

Property management, manager

Property management serves as a link between the lessee and lessor. The management ensures the provision, management and supervision of the required services in the property area. Property management matters are divided into technical, administrative and service sectors. An expert has been appointed for all the sectors. The Property Manager is responsible for matters related to property technology, safety and maintenance. The Business Park Manager handles matters related to leasing and lease agreement negotiations. The Community Manager mainly takes care of the property's service functionality.

Meeting and conference rooms

The Life Science Center has meeting rooms for small and large groups. In addition, the renovated Atmos premises on the 7th floor of building A2 have a sauna and a spectacular view of the sea.

Gym & Recovery Studio

Companies leasing premises on the property have the possibility to agree on the use of the gym in the basement of building C. Employees over 18 years of age of those companies having signed an agreement on using the gym may use the gym during its opening hours, from 5:30 a.m. to 10:00 p.m. The user of the gym undertakes to comply with the gym etiquette available at the gym.

The gym is equipped with Technogym equipment, shower rooms, a sauna and dressing rooms as well as a stretching area. Companies having signed an agreement on using the gym may book the gym for their groups by making a booking at the Reception Services, which maintain the list of bookings.

The gym is intended for adults only and everyone exercises at their own risk. Any defects in the equipment must be reported to the Reception Services. The equipment is serviced by the property every year.

The lockers in the gym may only be locked for the duration of the training. The lockers cannot be reserved for long-time use.

​Saunas are available for use on Mondays, Wednesdays and Fridays from 2:00 p.m. to 8:30 p.m.

Building access control

The property has an integrated access control and burglar alarm system. The staff need an access control tag to move about on the property.

The access control tag is personal and it may not be handed over from one employee of the company to another without updating the user data in the access control system. All lost tags must be reported to the Reception Services without undue delay. The property will invoice the costs incurred from lost and additional tags (the access control tag EUR 30+VAT) from the company whose employee or subcontractor lost the tag.

The costs for all unfounded alarms will be collected from the company whose employee or subcontractor caused the alarm. The exterior doors of the basement floor and 1st floor premises (street level) have burglar alarms outside of office hours. This means that the incorrect use of the doors in the evenings and at weekends will cause an alarm. An alarm will be triggered if the door is held open continuously, opened incorrectly or the tongue of the lock is in the open position.

Access-controlled doors are always opened with the push button. The green dome and levers are for emergency use only. Breaking the dome or using the levers will cause an alarm and the resulting costs will be charged to the party who triggered the alarm. In case of problems, please contact the property maintenance.

When moving around the property especially in the evening and at the weekend, it should always be ensured that the door is locked after the use of the door. This prevents unauthorised persons from entering the property. If the doors do not close properly for any reason, you must contact the property maintenance without delay to report the matter.

Locking of office premises

If they wish, lessees may order locking for doors on office premises. In such cases, the locking must allow entry with the universal key of the premises. The keys to the premises are managed by a locking firm. For further information, please contact the property manager.

Public Transport

The property is located in the immediate vicinity of public transport links. The connections from Keilaniemi metro station (M1/Kivenlahti–Vuosaari, M2/Tapiola–Mellunmäki) run every 4 minutes during the day. The terminus of the Jokeri Light Rail (Keilaniemi–Itäkeskus express tramway) is located right next to the property, at the end of building A1. Jokeri Light Rail trams run every 10 minutes. Lighting a fire

No candles or other open flames may be lit in any premises of the property due to the fire hazard they pose. Outdoor burners may be used outside the building for festive occasions etc., on the following terms:

· The maintenance firm and security firm must be notified in advance about the event. The Property Manager must also be contacted for permission.

· Whoever lights the fire is responsible for all the safety issues at all times, including supervising the fire, putting it out and any damage caused.

· The burners must be placed at an adequate distance away from the building and they may not cause any damage to the surface materials of the building or the yard.

· The event organiser is responsible for clearing the outdoor burners etc. away from the property area.

Advertisements and notices

Without an advance permission by the manager, it is prohibited to post advertisements or bulletins or place advertisement stands in the common lobby or staircase areas of the building, in lifts, exterior doors or landing doors, and outdoors, on the building’s facades, car parking facilities, the yard area and entrance.

You can inquire about the advertising space on the lobby info screens from the Business Park Manager.

The info screens in the lifts are primarily intended for informing about the services and functions in the property.

Alteration works on the premises

Any alteration works on the premises must always be agreed on in writing with the property owner. Please contact the Property Manager well in advance if you are planning alterations.

Weight limits

The weight limit for the outer deck is 40 tonnes and for the office premises, 300 kg/m<sup>2</sup>.

If in doubt, and for the basement premises, check the weight limit by contacting the Property Manager or property management company.

Monthly tests of the automatic fire alarm system

Once a month, the fire alarm system manager checks the operation of the fire bells. The tests are performed on the last Monday of each month between 12 noon and 1 p.m. The fire bells only ring for a short while during the test. In an emergency, the bells will ring until turned off by the fire chief.

Dressing rooms and personnel rooms

Shared dressing rooms and shower facilities for the use of employees are located in the basement of buildings A1, A2, B, D and E. The dressing room facility in building C is rented out and is not available for public use. There are separate facilities for men and women, with a shower, hair-dryer and drying cabinet.

Lockers, with a lock, are available for rent. All enquiries about renting of lockers must be made to the Business Park Manager.

In the dressing rooms, no belongings, shoes etc. may be stored on the floor or on top of the lockers in order to enable cleaning as agreed.

Parking

The Moovy app is used for parking in the Life Science Center parking area. Each company has a Moovy business account through which they can invite users to contract parking and add parking benefits for guests.

Guest parking is allowed in guest parking spaces on the parking deck and is subject to a fee.

Some of the car spaces in the basement are equipped with power sockets to enable warming up the engine. The plugs are intended only for warming up the engine, as the fuses of the electric power socket cannot take any higher loads. Power for warming up can be programmed separately at each car parking space in accordance with the instructions in the box. Two hours of warming up time for the engine can be reserved in one go. The cord must be removed from the socket whenever it is not connected to the car. Further information about the use of power sockets is available from the property maintenance.

The parking spaces in the property area are only intended for parking vehicles in use. Storage of any items or boats etc. in the parking spaces is prohibited.

The property is not liable for any damage caused to vehicles in the parking areas.

Bicycle parking places

Bicycle parking places are indicated for bicycles in the bicycle storage room and fixed stands. The bicycle stands are located in front of each building at the ground level, and in the basement. Storage of bicycles in other locations is prohibited. Bicycles parked in unauthorised locations may be moved away by the property maintenance company. The costs incurred from moving will be charged from the user of the bicycle.

Motorcycles

Separate parking areas subject to authorisation will be indicated on the parking deck for motorcycles. Motorcycles may also be parked in assigned spaces which are too small for cars. It is not permitted to park motorcycles at parking spaces with the right to park without a parking permit.

Parking spaces for those with reduced mobility

For authorised parking in a parking space for those with reduced mobility, a parking permit issued by the authorities, placed in a visible location on the dashboard, is required. A parking ticket may be issued for incorrect parking.

Electric vehicle (EV) charging stations

Electric vehicle charging stations can be found in the garage and they can be used via the eParking app. Only rechargeable electric vehicles may be parked at EV charging stations.

Restaurant

There are two restaurants on the premises of the Life Science Center: lunch restaurant The Plate and café restaurant The Bowl. The Plate is located next to the main lobby in the Keilaranta 14C building and The Bowl is located in the A1 building at the entrance to the Jokeri Light Rail. The restaurant is licensed to sell alcohol in the restaurant and in all meetings rooms in the property (excluding Atmos and its sauna facilities, where it is possible to bring your own alcoholic beverages).

Cleaning

The surface materials used in the property are of high quality and require professional cleaning. Cleaning the premises keeps them attractive and pleasant for both users and visitors. The responsibility for the cleaning of the premises is divided between the property and company as follows:

· Each company is responsible for arranging the cleaning of the premises they have rented

· The property is responsible for arranging the cleaning of common premises (lobby, staircases, etc.).

Window washing

The responsibility for washing the windows on the outer shell of the building is divided between the property and the tenant as follows:

· Each company is responsible for washing the interior surfaces of the outer windows in the premises they rent; if the window can be opened, the company is also responsible for washing the exterior surface of the window. In addition, the tenant is responsible for washing the interior and exterior glass surface of any indoor windows, glass doors and glass walls that form a part of their premises.

· The owner of the property is responsible for washing the window surfaces in common rooms and washing the exterior surfaces of fixed windows. The property has the windows washed once a year in August.

Electricity

Electricity for the property has been acquired through a competitive tendering process as part of a broader procurement portfolio of electricity. The use of electricity by lessees is invoiced from the lessees once a month in arrears according to consumption, unless otherwise agreed. The price of electricity consists of the purchasing price of electricity, transmission charges and the handling costs of the electricity bill.

In most cases, users can turn off lights in empty rooms. Lighting is one of the largest consumers of electricity in the property. Savings in lighting will directly benefit the company due to reduced electricity bills.

Temperature

Meetings rooms (inner zones)

The room unit measures the temperature, and the temperature controller maintains the temperature at the setpoint by controlling the cooling control valve.

The temperature setpoint (+21.0°C) can be changed by pressing the room unit + and – buttons (setpoint buttons). When the button is pressed, the setpoint is displayed briefly. Pressing the + button increases the setpoint by 2.0°C and pressing the - button decreases it by the same amount. The setpoint is programmatically limited.

The room unit measures the room temperature measurement, so covering the unit or placing a heat source (e.g. a computer) next to the unit will cause an error in the measurement. The surroundings of the unit should be kept as clear as possible so that air can circulate freely around the unit.

The temperature controller keeps the temperature at its setpoint by guiding the cooling control valve. The equipment has no heating function. When additional cooling is needed, the valve is opened more.

Lobby premises

The room unit measures the room temperature measurement, so covering the unit or placing a heat source (e.g. a computer) next to the unit will cause an error in the measurement. The surroundings of the unit should be kept as clear as possible so that air can circulate freely around the unit.

The temperature controller keeps the temperature at its setpoint by guiding the fan coil unit control valve. The equipment has no heating function.

The ventilation unit serving the premises must be switched on for the cooling to work correctly.

Office spaces (outer zones)

The room unit measures the temperature, and the temperature controller maintains the temperature at the setpoint by controlling the panel 6-way valve for either heating or cooling, as necessary.

The temperature setpoint (+21.0°C) can be changed by pressing the room unit + and – buttons (setpoint buttons). When the button is pressed, the setpoint is displayed briefly. Pressing the + button increases the setpoint by 2.0°C and pressing the - button decreases it by the same amount. The setpoint is programmatically limited. The room unit is located in the frontal structure of the open office.

The room unit measures the room temperature measurement, so covering the unit or placing a heat source (e.g. a computer) next to the unit will cause an error in the measurement. The surroundings of the unit should be kept as clear as possible so that air can circulate freely around the unit.

The temperature controller keeps the temperature at its setpoint by guiding the cooling control valve. The equipment has no heating function. When additional cooling is needed, the valve is opened more.

Additional time for ventilation

Ventilation of the space can be started outside the scheduled running time for a fixed period from the additional time button (30xKIS16.x).

The desired running time is selected by pressing the switch repeatedly (short press), and the corresponding indicator will light up. If desired, the machine can be stopped with a long (> 3 s) press or by pressing shortly several times to reach the beginning. The running time increases by one hour per press.

Goods deliveries, service traffic and removals

All goods traffic must operate through the loading bays in the parking garage. The height clearance in the service traffic area of the parking garage is 3.8 m. Only small courier deliveries are accepted in the lobby.

The weight limit of the yard deck, 40 tonnes, must be taken into account in transports through the yard. Each building has a loading bay on the basement floor K1, equipped with a hoist. When driving in, suppliers must contact the lobby via the entrance intercom, to have the doors opened as required and receive further instructions to the loading bay. The loading bays have another intercom for contacting the lobby guard, when necessary. As a rule, it is recommended that the supplier inform the recipient directly of the delivery.

If goods deliveries take place outside the standard office hours, the recipient must agree on and arrange the entry for the goods. Whenever companies move large amounts of goods, for example during removals, it is advisable to consult the Property Manager well in advance to review the rules.

Pallets must always be sent and received through the loading bays located in the property’s garage (the maximum height of the transport vehicle is 3.8 m). Carrying pallets in pump carts in public corridors on the 1st floor of the property is prohibited, as it damages the floor. The loading bays and corridors on the basement floor are suitable for transporting pallets.

Wooden pallets may not be left in the corridors. The suppliers must ensure that the pallets are removed.

Storage of goods

Any goods delivered to a company must immediately be transported to the company’s own premises. Storing goods in the hallways, loading bays, parking spaces, yards or other common premises is strictly prohibited. The property maintenance will remove any such goods and the owner/recipient of the goods will pay the costs of the removal.

Telecommunication connections

If an outside technician needs to go to the cross-connection cabinet or the cross-connection point of the property, the installation time and the installing firm must be reported to the property’s lobby well in advance. No access will be granted to the technician unless a written request has been made or if the commissioner of the visit cannot be identified.

Hot work

Hot work refers to work that creates sparks or uses flame or other heat and creates a fire hazard.  Hot work is always an action subject to a permit in all premises of the property, and a hot work permit must be applied for in advance. In addition, the person performing the hot work must have a hot work permit. The company for whom the permit is issued is responsible for fire-watch afterwards. The property’s maintenance caretaker grants hot work permits.

Smoking

Separate areas and ashtrays are provided for smokers. Smokers are requested to refrain from smoking outside the visitor entrances of buildings C and E.

The smoking area of building AB is next to the parking deck entrance, the smoking areas of buildings C, D and E are in the backyard on the Kuusisaarentie side, but not in the immediate vicinity of the exit doors. Smoking is prohibited indoors on all premises of the property, including the parking garage and balconies. The maintenance company is responsible for emptying of ashtrays.

Safety and security

We encourage everyone who works or visits the property to make safety observations and report any incidents immediately to the Reception Services or maintenance. We commit to taking into account all incident reports and strive to implement suggestions for improvement as far as possible. It is also good to remember that everyone can contribute to common safety through their own actions.

Rescue plans have been prepared for the property. In order to read the rescue plan, you need a password provided by your company’s contact person. The property has an active rescue organisation. The members have been trained and instructed to act and provide guidance in emergencies. Evacuation drills are arranged in the property.

Receiving visitors

Guests register at the reception by reporting themselves to the security guard or signing in via the self-service terminal.

The main entrance is at Keilaranta 14 C. The lobby can be accessed from both sides of the building (from the Kuusisaarentie side and the parking deck). Keilaranta 10 E building and Keilaranta 18 A1 building have their own entrances. Other entrances are access-controlled, and guests cannot use them.

The doors of building C are open on weekdays from 8:00 a.m. to 4:55 p.m. and the doors of building E and building A1 are open on weekdays from 8:00 a.m. to 3:55 p.m.

The door opening hours are linked to the lobby opening hours.

A visitor pass is printed to visitors and the host will be notified. To allow for fluent reception of visitors, it is recommended that the lobby be notified in advance especially about large groups and international visitors so that the visitor passes can be prepared in advance.

Advance notifications help us avoid congestion in the lobby particularly in the morning, as most visitors tend to arrive at the same time.

At the end of the visit, visitors return the visitor pass to the lobby or to the dedicated mailboxes that can be found in each lobby.

Fault reports and maintenance requests

All fault repots must be entered in the electronic maintenance manual (FIMX).

If the tenant notices any defects or hazardous conditions (e.g. water damage, slipperiness, broken glass) in the space they use or elsewhere in the property or in the property’s yard area, they must be immediately reported to the maintenance caretaker or property manager.

Even a small leak in the water fixtures will cause significant water loss in the long run. Leaking faucets and toilet seats should be immediately reported to the maintenance caretaker, who will replace the necessary seals.

Fault reports should not be made by calling the maintenance workers directly, except in urgent cases during on-call hours.

The property owner and lessor is NIAM VI Keilaniemi Oy. The practical matters of the owner are handled locally in accordance with the owner’s instructions by Newsec Property Asset Management Finland Oy.

Contact person and communication

Each company has one or several contact persons, who are informed via email about matters related to the property. The contact person informs the company’s personnel about matters related to the property in the way agreed on internally by each company. The maintenance company, manager or Reception Services send information bulletins on behalf of the property.
